Direct payment and record keeping

Not every franc arrives through your website. Someone pays cash at the door, scans your own TWINT QR, or settles an invoice by bank transfer weeks later. This feature lets you record those payments in Ocio so your books, your class lists and your student records still add up.

How it works

The student says they've paid

They book a place and mark it as paid — by cash, TWINT QR, or transfer. It appears in your dashboard as a claim awaiting confirmation. You check your own account, and confirm or reject it with one click.

You record it yourself

Money arrives and you enter it against the student and the course. No claim, no waiting — the booking is settled immediately and the ledger reflects it.

When Ocio collects the payment

Proof of payment is automatic — a timestamped record neither side can dispute, and the student gets a receipt without you sending one.
Refunds are one click, straight back to the card or TWINT the student paid with.
Failed and abandoned payments are visible, so you can follow up the booking that nearly happened.
Reconciliation is automatic — payments match themselves to orders.
Disputes have evidence behind them.

Money we did not collect is money we cannot stand behind

We would rather write this plainly than have you discover it in an awkward month.

We cannot issue an online refund. If we never received the money, we cannot send it back — refunding a cash, TWINT QR or bank payment is entirely yours to do, by whatever means you took it.
Your payment provider's charges still apply. A TWINT QR, a transfer or an invoice through your bank each carry their own fees; recording the payment in Ocio does not remove them.
Proof of payment rests on your confirmation, not on a transaction.
Disputes and chargebacks are yours to handle — we have no relationship with a payment we never touched.

Why it costs extra

It would be easy to bundle this in and say nothing. But manually confirmed payments create real work at our end — reconciliation that cannot be automated, support when a claim and a bank statement disagree, and a book-keeping trail that has to hold up regardless. So it is priced honestly, per package, and you can leave it switched off.

The monthly ceiling is a limit on recorded value, not a fee. It exists because this feature is meant for the payments that genuinely fall outside your website — not as a way to run the whole school off-platform. If you are regularly at the ceiling, talk to us; there is usually a better answer than paying for two systems.

When this genuinely makes sense

A student who only ever has cash. A wedding couple who paid a deposit by transfer before they ever saw your website. A term invoice settled six weeks late. A workshop where you took TWINT QR at the door because the queue was moving. These are real, and pretending otherwise would just mean your records are wrong.

What it is not for is avoiding the one percent. Once you count the time spent chasing confirmations, the refunds you handle by hand and the reconciliation you do yourself, collecting through Ocio is almost always the cheaper of the two — and it is the only one where we can stand behind the result.
